Supplying Hotel Chains Across India: One Manufacturer, Many Properties

Supplying Hotel Chains Across India: One Manufacturer, Many Properties
Quick answer

A single domestic manufacturer can keep scent, colour and branding identical across every property in an Indian hotel group. The work lies in planning road transport from north India, regional or property-level buffer stock, monsoon storage and reorder triggers.

A hotel group can supply every property in India from one manufacturer, keeping scent, colour and branding identical from Delhi to Kochi. The work lies in planning: deciding where stock sits, allowing for road transport from north India, protecting cartons through the monsoon, holding buffer stock and setting reorder triggers each property can follow.

This guide is for group procurement teams, management companies and distributors running amenities across several cities. For an overview of supplying Indian hotels, start with our India hotel amenities hub.

Why one manufacturer for many properties

Buying from several regional suppliers can look convenient, but guests notice when the shower gel in one city smells different from another, or when a logo is printed in a slightly different colour. A single manufacturer gives you:

  • One formula and scent filled into every format, from minis to 5 L refills.
  • One set of artwork, printed on the same equipment.
  • One set of documents, including licences, ingredient lists and manufacturing records.
  • One commercial relationship, with prices and minimum order quantities quoted per item.

Harrods Health manufactures in Ambala, Haryana, and supplies hotels across India by road. We make the products and decorate the packaging in-house, which helps keep each batch consistent.

Choosing a stocking model

There are three common ways to hold amenities across a portfolio. Many groups combine them.

Model How it works Suits
Direct to property Each hotel receives its own consignment from the factory Larger hotels with storage space
Regional store A store or distributor in each region receives bulk loads and supplies nearby hotels Clusters of smaller hotels in one region
Central schedule Head office places periodic orders split by property Groups with consistent occupancy across cities

Direct delivery keeps handling to a minimum. A regional store reduces the number of long-distance consignments and suits groups with many small properties in the south or west. Moving goods onward from a regional store may need its own transport paperwork, so check with your accountant.

Cartons on a pallet ready for despatch

Road transport from north India

From Ambala, consignments to Delhi NCR, Punjab, Rajasthan and the hill states travel comparatively short distances. Routes to Mumbai, Goa, Bengaluru, Chennai, Hyderabad and Kerala are long road journeys, and transit can lengthen during the monsoon or festival periods. We confirm delivery plans with each order rather than quoting fixed transit times.

Practical steps:

  • Plan southern and western deliveries further ahead than northern ones.
  • Consolidate orders for distant regions into fuller loads.
  • Make sure every consignment carries a GST invoice and an e-way bill where required, with details that match the goods.
  • Give the transporter clear delivery windows for each hotel's receiving bay.

Monsoon and humidity storage

Most of India has a monsoon, and coastal regions stay humid for much of the year. Liquid toiletries are sealed, but packaging and labels can suffer in a damp store.

Store rules for every property

  • Keep cartons on pallets or racks, never directly on the floor.
  • Keep them away from damp walls, windows and air-conditioning drips.
  • Leave cartons sealed until stock is needed.
  • Use first in, first out, guided by the manufacturing date on the label.
  • Keep stock away from direct sun and heat, especially in desert and coastal stores.

Refill systems help here, because a few 5 L containers take far less space than crates of miniatures. Our bulk packs range covers shampoo, conditioner, shower gel, body lotion and hand wash. For hygienic refilling, see our dispenser refilling SOP.

Buffer stock and reorder cycles

Every property should hold a buffer large enough to cover the time between placing an order and receiving it, plus a margin for a delayed truck or an unexpected group booking. Distant properties need larger buffers than those close to the factory.

Set simple reorder triggers

  1. Track usage per occupied room for each product.
  2. Set a reorder level that covers expected use during the delivery period, plus the safety margin.
  3. Raise orders when stock reaches that level, not when it runs out.
  4. Increase buffers before peak seasons, weddings, conferences and monsoon months.
  5. Review the levels each season as occupancy and formats change.

Seasonality varies by region. Goa and Rajasthan peak in the cooler months, hill stations peak in summer, and business cities follow the corporate calendar. Our pages for Goa and Bengaluru and South India describe regional patterns.

Keeping the brand consistent

Lock the specification

Record the approved formula, scent, colour, pack, closure, artwork and label text for each product in a specification signed off by the brand team. Any change, including a new pack supplier or a revised label, should go back through approval.

Keep retained samples

Keep an approved reference sample at head office. When a property reports that a product looks or smells different, compare it with the reference and check the batch number before drawing conclusions.

Use one scent across formats

A signature scent filled into minis for suites, dispensers for standard rooms and hand wash for public washrooms makes the brand recognisable everywhere. We can create or match a scent and print artwork in-house; see custom packaging.

Working with distributors

Some groups prefer a hospitality distributor to hold stock in each region and deliver to hotels. This can work well for clusters of smaller properties, provided the distributor stores goods properly and rotates stock. Agree who owns the stock, who checks batch numbers on receipt and who handles shortages. We can print each hotel's branding and pack by property, so a distributor can forward goods without repacking.

Handling a quality concern across many hotels

When a guest or housekeeper raises a concern, speed and traceability matter more than anything else.

  1. Record the product, pack size, batch number and manufacturing date from the label.
  2. Set the affected stock aside at that property rather than discarding it.
  3. Check whether other properties received the same batch.
  4. Send photographs and, if requested, samples to the manufacturer.
  5. Agree the outcome and any corrective action in writing, and update your specification if needed.

Batch numbers and manufacturing dates on every pack make this possible, which is one reason the label particulars required by the Cosmetics Rules, 2020 are useful to hotels as well as regulators. We supply manufacturing documentation on request.

Onboarding a new property

When a hotel joins the group, send the standard specification, agree formats for its room types, confirm its GSTIN and delivery address, and place an opening order large enough to set its buffer. If it is in a new region, decide whether it is supplied directly or from a regional store. Our private-label manufacturing guide explains how new ranges are developed. If the new property is a different segment from the rest of the group, agree whether it keeps the group scent or receives its own, and record that decision in the specification so later reorders stay consistent.

Frequently asked questions

Can one manufacturer supply hotels in every Indian state?

Yes. We supply hotels across India by road from Ambala. Distant regions need more planning and larger buffers.

How much buffer stock should a property hold?

Enough to cover use during the delivery period plus a safety margin. Distant properties and peak seasons need more. Base it on your own usage per occupied room.

How do we keep scent consistent across cities?

Use one approved specification, keep reference samples and source every format from the same manufacturer.

Can you pack orders by property?

Yes. A central order can be packed and documented by hotel so each property receives its own consignment.
