A city hotel hands its rubbish to a municipal service. An island resort has to sort, store and transport its own waste, often by boat. Small plastic bottles and sachets are light, but they add up quickly across hundreds of room nights, and they are awkward to clean and recycle. How refill systems work in practice
Bulk supply
At the heart of most refill programmes is a bulk container. We fill shampoo, conditioner, shower gel, 2-in-1, body lotion and hand wash into 5 L refills, printed with your branding, and supply matching dispenser bottles. The dispenser hardware itself, whether glass, ceramic or aluminium, is usually bought from a fixtures supplier; we do not make it. Check that the pump and valve suit the viscosity of each product before you buy.
Refilling routine
Refilling is where programmes succeed or fail. A sound routine typically includes:
- Refilling in a clean back-of-house area, not in the guest bathroom
- Never topping up a part-used dispenser; empty, clean and dry it first, or use sealed cartridges
- Using dedicated, labelled jugs or pumps for each product
- Recording the batch number of the refill used for each dispenser
- Keeping opened refills sealed and using them within the period your supplier advises
Guest confidence
Some guests worry that a refillable dispenser has been tampered with. Lockable or sealed dispensers, a clean design and a short note in the room explaining the programme help. In a villa, a weighty ceramic or glass vessel can feel more luxurious than a row of minis.
Heat, humidity and refills
Tropical conditions make storage discipline more important. Opened bulk containers in a warm store room need careful handling. Substantiating green claims
Once a resort has invested in refills, the temptation is to tell guests the bathroom is "plastic-free" or "zero waste". Be careful. Regulators and guests in many markets increasingly expect environmental claims to be specific, accurate and backed by evidence.
Claims to avoid unless you can prove them
- "Plastic-free" if the 5 L refill, pump, cap or seal contains plastic
- "Zero waste", because refills, cartons and closures still need disposing of
- "Eco-friendly" or "sustainable" on their own, without saying what makes them so
- "Biodegradable" or "ocean-safe" without test data relevant to the claim
Claims that are easier to support
- "Our villas use refillable dispensers instead of single-use bottles" if that is true
- A measured reduction, such as fewer small bottles shipped this year than last, based on your own purchase records
- A factual description of the vessel material, such as "ceramic dispensers"
Keep the records behind every claim: purchase volumes, supplier specifications and any certificates. If a supplier makes an environmental claim about a product, ask for the evidence in writing.

- Audit what you use today by format and product, per occupied room night.
- Check with your importer which plastic items are restricted and which are planned.
- Choose dispenser hardware for villas, spa and public areas.
- Agree bulk formats, scent and branding with your amenity manufacturer.

Where minis still make sense
